1. Acceptance of terms
These Terms & Conditions govern your access to and use of AeonicX. If you use the service on behalf of a business, you confirm that you are authorised to accept these terms for that business. If you do not agree, please do not use the service.
2. The service
AeonicX provides an AI chatbot that businesses embed on their websites to answer questions, capture leads, and receive appointment requests. The assistant generates replies based on the content each business provides. Features may change, improve, or be discontinued as the product evolves.
3. Accounts
- You must provide an accurate email address and keep your login credentials secure.
- You are responsible for all activity that happens under your account.
- One account owns one business. Notify us promptly of any unauthorised use.
4. Your content and responsibilities
You retain ownership of the content you add — your business information, FAQs, services, and policies. You grant AeonicX permission to store and process that content solely to operate the service for you.
You are responsible for ensuring that:
- The information you provide is accurate and lawful, and you have the right to use it.
- Your use of the chatbot complies with applicable laws, including privacy and consumer-protection rules.
- You obtain any consents required to collect information from your own website visitors.
5. Acceptable use
You agree not to use AeonicX to:
- Break the law, infringe others' rights, or facilitate fraud or harm.
- Upload malicious code or attempt to disrupt, overload, or reverse-engineer the service.
- Collect sensitive personal data or mislead your visitors about who they are talking to.
6. AI-generated answers
The assistant produces automated responses and can occasionally be incomplete or inaccurate. It is a support tool, not professional advice. Businesses are responsible for reviewing their configured content and for the answers their assistant gives. AeonicX is not liable for decisions made based on chatbot responses.
7. Pricing, billing, and the free trial
New accounts begin with a free trial so you can evaluate AeonicX before paying. The trial is an introductory offer — its length, terms, and availability may be changed, reduced, or removed at any time at our discretion.
After the trial, AeonicX is offered as a paid subscription, billed in advance for the plan you choose (a monthly or a six-month billing period). Prices are shown on our pricing page and may be revised for future billing periods; any change is communicated before it applies to you. Applicable taxes may be added at checkout.
Subscriptions cover the full period paid for. Payments are final and non-refundable, and a paid period cannot be cancelled mid-term — see our Refund & Cancellation Policy for full details on refunds, cancellation, and not renewing.
8. Availability
We work to keep AeonicX reliable, but the service is provided on an “as is” and “as available” basis, without warranties of any kind. We do not guarantee uninterrupted or error-free operation.
9. Limitation of liability
To the maximum extent permitted by law, AeonicX will not be liable for any indirect, incidental, or consequential damages, or for lost profits, revenue, or data, arising from your use of the service. Nothing in these terms excludes liability that cannot be excluded by law.
10. Termination
You may stop using AeonicX and close your account at any time. We may suspend or terminate access if these terms are breached or if necessary to protect the service or other users. On termination, your right to use the service ends and we may delete your data in line with our Privacy Policy.
11. Data protection
Where you use AeonicX to process personal data about your own customers and website visitors, you are the controller of that data and AeonicX is your processor. This section, together with our Privacy Policy, forms our data-processing agreement with you, and applies for as long as we process that data.
- Purpose. We process personal data only to provide the service to you and on your instructions — configuring your account, answering your visitors, and the optional features you switch on. We do not use it for our own purposes, we do not sell or share it, and we do not use your data or your visitors' conversations to train AI models.
- Scope. The categories we process are set out in our Privacy Policy: your account details, the knowledge base content you add, conversations with your assistant, and any lead or appointment details a visitor chooses to give.
- Order lookups are read-through. Where you connect a store and switch order tracking on, we ask your store for a single order at the moment a shopper asks, check the details they gave match that order, and write its status into the chat. No order is copied into our systems and no order data is sent to our AI provider.
- Sub-processors. We use the providers listed in our Privacy Policy to host, run and support the service, each bound to protect the data they handle. We will update that list before adding a new one.
- Security. We hold data on managed infrastructure, encrypt it in transit, hash passwords, and keep each business's data isolated from every other business's. Access is limited to what is needed to operate and support the service.
- Your visitors' rights. If one of your visitors asks you for access to, correction of, or deletion of their data, we will help you answer it, and will delete or correct records on your instruction. Appointment requests, along with the knowledge base content you add, can be deleted from your dashboard directly.
- Breaches. If personal data you are responsible for is affected by a security breach, we will notify you without undue delay and tell you what we know and what we are doing about it.
- Deletion. On termination we delete your data as described in our Privacy Policy. Store credentials are deleted immediately on disconnection or uninstall.
Merchants who install from the Shopify App Store are additionally covered by Shopify's own terms governing the data their store shares with apps.
12. Changes to these terms
We may update these terms as the product develops. We will revise the “last updated” date above and, for significant changes, take reasonable steps to notify account holders. Continued use after an update means you accept the revised terms.
